Ready-made or custom software? Do the real math first
When business owners compare software, they usually compare the price on the box: ready-made software for around ₹20,000, or custom software for ₹40,000 to ₹1,00,000. On that comparison, ready-made wins every time.
But the box price is rarely the biggest cost.
The cost nobody puts on the invoice
A lot of ready-made business software is powerful, but not simple. So businesses hire someone whose main job is to operate the software: entering data, making bills, pulling reports.
If that person costs ₹20,000 a month, here’s what the first year looks like:
| Ready-made software + operator | |
|---|---|
| Software | ≈ ₹20,000 |
| Operator, 12 months | ≈ ₹2,40,000 |
| First year | ≈ ₹2,60,000 |
And the operator’s salary doesn’t stop after year one.
These are example numbers. Plug in your own. The point is that the person is often the biggest line, and nobody counts it as a software cost.
Other costs that don’t show up on the bill
- Changing how you work. Ready-made software is built for an average business. If yours isn’t average, your team bends their process around the software, or quietly goes back to paper.
- Paying for features you never use, while the one thing you really need is missing.
- Data stuck in separate apps. Billing in one place, stock in another, attendance in a register. Someone copies between them every day.
- Time. Every hour your manager spends checking registers and sheets is an hour not spent running the business.
When ready-made is the right choice
Sometimes ready-made software is exactly right, and you should buy it:
- Your needs are standard: basic billing, simple GST invoices, a few users.
- Your process already matches how the software works.
- Someone on your team is comfortable using it without help.
If that’s you, buy it. We’ll tell you the same thing if you ask us.
When custom software wins
Custom software makes sense when:
- Your core work is specific to you, like production batches, job cards, or how you handle dealers.
- You’re using several apps that don’t talk to each other.
- Paper keeps coming back because the software was too hard to use.
- You need automation: reminders, reports and data entry that happen on their own.
- Privacy matters, and you want your data on your own computer, even fully offline.
Good custom software is built around the people who will use it every day. When it’s simple enough for your existing staff, you may not need a dedicated operator at all.
One honest note: if you need accounting and GST filing, you’ll still need your accountant. Custom software runs your operations. It can also hand clean data to your accounts, so nobody types it twice.
Three questions before you decide
- Who will operate it, and what do they cost? Count that person.
- What will still happen on paper or in Excel after you buy it? That’s the work the software doesn’t solve.
- What does one full year cost, all-in? Software, people, time and mistakes.
If the answers make ready-made look good, great. If they don’t, show us how your business runs and we’ll work out the numbers with you.
